La Tejedora needed a way to streamline supporter data, donations, and membership processes without adding complex new tools. We built an automated system that connected their existing platforms, eliminated manual tasks, and improved both staff efficiency and supporter experience.

Introduction

We transformed La Tejedora’s data management and donor engagement by integrating their existing tools into a single, automated system. The result: fewer manual tasks, faster communications, and a membership program that launched without extra software costs.

Key Results:

  • 100% elimination of manual data entry across multiple platforms
  • Response time cut from days to minutes with automated communications
  • Bilingual marketing automation in English & Spanish
  • Tiered membership program launched using existing tools (no added subscriptions)
  • Unified CRM: Complete view of every contact and donation

The Challenge

La Tejedora is a youth-empowerment organization in Puerto Rico with a lean three-person team. As a recent spin-off from The Action Lab, they struggled with:

  • Fragmented data: Contact info and donations lived in Squarespace, ActBlue, and spreadsheets
  • Manual processes: Hours spent copying information between systems
  • Shared platform complexity: Needed to filter their donations from other organizations’ transactions on a shared ActBlue account
  • Budget constraints: Wanted a membership program but couldn’t afford new software
  • Bilingual communications: Serving both English- and Spanish-speaking communities

The Solution

We connected La Tejedora’s core systems—Squarespace, Airtable, Mailchimp, and ActBlue—with automated workflows using Zapier.

Flow charts of four automation processes: mailing list signup, manual entry into Airtable, donations, and membership signups.
Several automated processes moved contact information between signup forms, Airtable, and Mailchimp.

1. Automated Data Sync

  • Website form submissions automatically create or update records in Airtable and Mailchimp
  • Standardized email addresses and updated supporter profiles
  • Automated welcome emails sent in preferred language
  • Staff notified with context

A combination of Zapier and Airtable automations sent all the information where it needed to go

2. Smart Donation Tracking

  • ActBlue donations automatically filtered for La Tejedora’s campaigns
  • Donations recorded in Airtable with donor history
  • Donors’ profiles updated in Mailchimp for targeted follow-up

3. New in 2025: Membership Program (No New Software)

  • Three membership tiers built using an existing ActBlue donation account
  • Automated workflows tag members in Airtable by tier
  • Tier-specific welcome sequences sent in preferred language

4. Bilingual Automation

  • Language preference captured at signup and stored in Airtable
  • Mailchimp audiences segmented by language
  • Every automated email sent in supporters’ preferred language

The Results

Time & Efficiency

  • Eliminated all manual data entry (hours saved weekly)
  • Immediate, personalized supporter communications
  • Staff freed up to focus on program work

Cost-Effective Growth

  • Membership program launched using existing tools (no new costs)
  • System scales as La Tejedora grows without adding staff

Enhanced Supporter Experience

  • Unified contact view with donation and membership history
  • Seamless bilingual engagement from first interaction

Airtable tracks the source of each contact

Key Takeaways

  • Small teams need big automation—every hour saved matters
  • Designing for bilingual communities from day one prevents costly retrofits
  • Leveraging existing tools creatively can rival expensive enterprise solutions

Final Impact

This integrated system allowed La Tejedora to operate like a much larger organization—freeing staff time for mission-driven work while elevating their supporter experience.
